Overview

The Scheduling Calendar window gives you a way to enter and view appointments and activities on a personal calendar, as well as on group calendars for each of the groups of which you are a member.

The window has a resizable "month-at-a-time" calendar with scrollable entry fields for each day of the month. Unused entry fields may be used for miscellaneous notes for the month. The titlebar at the top of the window will show the month/year and user/group ID of the currently displayed calendar. While host interactions are occurring, the titlebar will display the message "Contacting host . . .".

The calendar can be accessed from any Menu Window by choosing "Tools-->Scheduling Calendar" from the menubar at the top of the menu.

Personal Calendar

When started, the calendar will automatically display your personal calendar for the current month. Your User ID will also be listed as the first choice in the "Schedule for:" combobox in the upper lefthand corner of the calendar window. You can return to your personal calendar (after viewing a group calendar, for instance) by selecting your User ID in this combobox and then clicking the "View" button to the right of the combobox.

Group Calendars

The Group IDs for each User Group of which you are a member will also be listed in the "Schedule for:" combobox. To view and make entries in a Group Calendar, select the Group ID that you want in the combobox, then click the "View" button.

Note: depending on your security privileges, you may not be able to update or to view Group calendars. If you are not authorized to update group calendars, an appropriate warning message will be displayed when you click the Submit button for a group calendar. If you are not authorized to view group calendars, no Group IDs will be listed in the combobox.

Viewing a Calendar

The calendar starts by showing the current month. To view a different month, you can:

Although there are no scroll bars in each entry field (they would take up too much room), each field can contain lines that are as long as you want. To view the end of a line that is "off the edge" of the field, click on the line, then use the arrow keys to move through the line, or use the Home and End keys to toggle between the beginning and end of the line.

Each field can also contain as many lines as you want. To view lines that are "off the top" or "off the bottom" of a field, use the up and down arrow keys to scroll through the lines.

Another way to view a large entry is to move the cursor one word at a time by using Ctrl-RightArrow to move one word to the right (will wrap to the next line) and Ctrl-LeftArrow to move one word to the left.

Moving between Entries
To move between entry fields, you CANNOT use the "Tab" key, since it is used to insert tabs WITHIN an entry field. Instead, you can move between fields in three ways:

Resizing a Calendar
You can also resize the calendar to fit the size of your computer screen. This will make each entry field as large as possible. On a PC that is running Microsoft Windows 95/98(tm), you can resize the calendar window in several ways:


Making Calendar Entries

To make an entry in any of the daily appointments or notes fields in a monthly calendar, simply click on the field and begin typing. When you are done, click the "Submit" button at the top to send your entries to the host to be saved in the database calendar table.

If there are already entries in the field, you can either use the mouse to click where you want to begin typing, or use the keyboard arrow keys and Home/End keys to move around within the field. As with viewing, you can also position the cursor to begin typing at a particular spot by using the Ctrl-RightArrow and Ctrl-LeftArrow key combinations to move left/right a word at a time.

To change an existing entry, a simple method is to first delete the existing entry (by positioning to the start of the entry and using the Delete key) and then type a new entry.

For a faster way to change an entry:

A more precise way to highlight text (if you have a "bad mouse" or "nervous fingers"!), is to use Shift-RightArrow to highlight one letter at a time, or Shift-Ctrl-RightArrow to highlight one word at a time. If you overshoot your target, use Shift-LeftArrow to back up. To highlight to the end of a line, use Shift-End. This is the same way that many Windows(tm) programs work.

To start a new line at any point, press the Enter key.

To split a long line, position the cursor where you want to split the line, then press Enter.

To combine two lines into one, position the cursor at the end of the first line, then press the Delete key. You may then have to add or delete spaces as necessary for proper spacing.
